Yardi, AppFolio, and MRI Software handle standard residential and commercial property management well. When your portfolio includes mixed asset types (residential, commercial, industrial, short-term), complex ownership structures, fund-level reporting requirements, or non-standard lease structures, the platform's configuration options run out. The workarounds live in spreadsheets that the property management team maintains alongside the platform.

Investment and fund reporting is where standard property management platforms hit their hardest limits. Investor portal requirements, waterfall distribution calculations, IRR and equity multiple tracking by asset and fund, capital account management, and K-1 reporting require financial modelling capabilities that property management platforms weren't built for. The finance team maintains a parallel Excel model because the platform can't produce the numbers.

MLS and listing integration is simpler in theory than in practice. RETS and RESO Web API connections, IDX feed management, listing syndication to Zillow, Realtor.com, and Homes.com, and the field mapping between MLS data structures and your application's data model — each adds complexity that generic platforms handle inconsistently, especially for non-standard property types.

The CRM problem in real estate is specific. A deal that moves from prospecting to LOI to due diligence to close to asset management spans months, involves multiple counterparties, and requires different workflows at each stage.
